The firm marks 20 years in business, and its blog states that IP in custom software is fully assigned to clients on completion.

A paid Proof of Capability starts from $5,000 and builds a working prototype on the client's own data. Full builds land between AU$80,000 and AU$1 million or more, and IP is assigned at every milestone.

Advancer says most first agents go live within 30 days. It designed, developed and deployed Voice AI agents across The Tivoli and The Princess Theatre, and its Voice AI for Bartons Motor Group has handled thousands of service calls. An AI Readiness Audit starts from $2,500. Simple automations run $5,000 to $15,000 and multi-system agents $20,000 to $80,000 or more, and retainer support under Advancer Care starts from $1,500 a month. The firm was founded in 2015.

Hourglass AI builds working systems inside businesses for a fixed scope and a fixed fee, and each build goes live in one to two weeks. The foundation is the Company AI Brain, which joins a business's email, files, CRM and finance systems into one source of truth that its agents and staff both read.

The agents work inside the tools a team already uses, with no migration and no new platform, from email drafting in each person's own voice to an AI coworker in Slack or Teams. Integr8's co-founder reports that automating his weekly reporting saves him 8 hours a week, and Voyagin Australia cut its admin time by 75%. Both figures are client-reported.

Outside its own site, Startup Daily's report on the launch named two clients using Hourglass-built AI. Schweigen, a multi-billion-dollar appliance retailer, runs an AI customer support system live on its own site. Sense of Self, a Melbourne wellness destination, is having its core operations streamlined. In Michael Batko's September update to subscribers, one client went from 2 people using AI to 28, with 1,360 skill calls in 30 days. Co-founder Finlay Ekins reported another client that once sorted 600 emails a day by hand and now runs the email tool around the clock.

Builds are published at $5,000 to $25,000 each, and maintenance covers daily ingestion, weekly accuracy passes and model upgrades for about $1,000 a month per build. Everything runs on the client's own servers and accounts. Hourglass AI never stores client data, and the client owns all of the IP, with the system kept model-agnostic so any AI model can be pointed at it. The firm was co-founded by Finlay Ekins and Michael Batko. Batko spent eight years leading Startmate, and in that time the accelerator backed 228 companies with first cheques.

Agility HQ builds Airtable and Zite systems and the automations around them. For The Mental Health Coach, enrolling someone now takes a couple of minutes instead of about 10, and LeadClasses.com handles each event in minutes rather than hours. It also gave the Northern Land Council an Airtable system connecting Miradi and SMART. A 90-minute consultation costs $450 plus GST, builds start at $3,000 plus GST, and support plans run $299 to $1,700 a month plus GST. Founder Shaun Hughston leads the work.

For Coast Smoke Alarms, Team400 built a scheduling system that automates up to 80% of job scheduling, saving hundreds of hours a month. It also added retrieval and LLM engineering to Springboards AI's platform. Strategy work starts from $25,000, custom AI projects typically run $50,000 to $250,000, and a managed service deploys, monitors and improves the agents after launch. Its site says it has spent more than 15 years building apps for Australian brands, and founder and CTO Michael Ridland leads the engineering.

Support after launch covers health checks, monitoring and priority issue response. The about page names 11 people with roles, led by chief executive Helen Zhou. A Pipedrive customer story dates the agency at 15 years.

AI Advancements built Amplitude Energy an agent that runs balance sheet reconciliation checks inside the client's own Azure environment. It gives the finance team roughly a week back every month. At Fortescue, one automation in production saves the fleet control team about three hours a day. For Curtin University it built a fully offline chatbot for higher degree research students, running on the university's own hardware. Every development project begins with a paid $2,000 scoping engagement, credited to the build. Its about page names its senior AI engineers.

The cost table below it shows what each one charges. Seven of the eight publish a build price or range, all except AI Advancements. All eight offer support after launch.

What to check before you hire one

Before you hire an AI agency in Australia, check four things. Does it work inside the software you already run? Can it prove value with a fast pilot? Does it keep data and access under Australian rules? Will it take responsibility for the result?

Building is so easy now that hundreds of agencies are spinning up. Anybody can do it, so the hard part is trust. A business lets an agency change how it runs when it believes the agency will deliver. The four checks below test for that before you sign.

Integration with your current systems

Integration means the AI reads from and writes to the software a business already runs, such as HubSpot, Xero, MYOB, Salesforce or Microsoft 365. It does not sit beside that software as a separate chat window. Seven of the eight agencies ranked here score the full 20 on build depth. Spark Interact connected the Australian Industry & Defence Network's membership platform, payment gateway and accounting software. AI Advancements ran Amplitude Energy's reconciliation agent inside the client's own Azure environment.

Measurable ROI and fast pilots

A pilot is a small first build on one repetitive, high-volume task, shipped in weeks and measured against how long the task took before. EB Pearls prices a Proof of Capability of one to two weeks that runs on the client's own data, and Advancer puts most first agents live within 30 days. A pilot earns a full build when its first month shows a number, as QV IQ did with 684 chats handled for Ego Pharmaceuticals.

How to control AI cost is a question to put to every agency. The answer is called model routing. A cheap, fast model handles lookups, renames and short summaries, a mid-tier model does the everyday build work, and the top model only gets strategy, architecture and the hardest debugging. Using one top model for everything is how a business ends up paying for the most expensive model to summarise a file. So when a pilot shows its number, ask what it will cost to run every month at full volume, and how the agency keeps that bill down.

Local compliance and security

Local compliance means the build meets the Privacy Act 1988 and access to each part of the system follows a person's role. Where the data sits is a separate check: in Australia, or in the client's own accounts. Advancer says its agents are built in line with the Australian Privacy Principles, with role-based access control and human oversight. EB Pearls builds on AWS's Sydney and Melbourne regions. Hourglass AI's systems run on the client's own servers and accounts. Certifications and hosting are recorded here but not scored.

Outcome-based delivery

Outcome-based delivery puts the delivery risk on the agency. The work is judged on business results, such as faster responses, automated scheduling or fewer admin hours, not on prompts or infrastructure. A fixed published price is the first sign of it: Growthfirst, Agility HQ, 4mation and Hourglass AI all price a build before work starts. The second sign is a result the client attributes to the build. Fortescue's fleet control team, for one, gets about three hours a day back from AI Advancements' automation.

Hourglass AI's founders publish one north star metric, healthy retainers: clients on a monthly retainer, getting real outcomes and happy enough to tell their friends. A client who keeps paying every month is saying the build still holds enough value to pay for, and happy clients are the ones who refer the next client. So ask any agency what number it measures itself on.

  • Run and maintain, 10 points. Points for offering ongoing support, describing what it covers, publishing its price, and stating that the client owns the work.
  • Team and track record, 10 points. Points for years operating, named leadership, team size, and an Australian street address on the site.

Build depth counts twice and the other four tests once each. Each test is scored 0 to 10 against fixed point values, from each agency's own website and the public press, podcasts, newsletters and third-party case studies about it, read on 1 October 2026. Ranking lists published by competing agencies are not counted for anyone.

The list ranks firms that design, build and run AI systems for client businesses, including AI development houses, AI consultancies that build, voice AI agencies and automation studios. Creative and marketing AI agencies, advisory-only firms, AI product vendors and the global consultancies were not scored.

An agency is ranked only where a buyer can verify it: an active ABN or named people on its own site, and at least one named client or checkable result. Forty agencies passed and were scored. Scores are floors, so a result on a page that was not read does not count. Ties break on build depth, then evidence.

Build depth scores 3 for stating the agency builds and ships, 2 for naming platforms, 3 for a specific client build described, or 1 where client builds are anonymised, and 2 for a named in-house builder, or 1 where builders are unnamed or offshore. Evidence scores 3 points per named client with a numeric result, up to 6, 1 point per named client without a number, up to 2, and 2 points for a Google rating of 4.5 or more on at least 10 reviews. A client counts only where the agency's own page, or independent coverage of it, ties the client to AI or automation work.

Published prices scores 3 for an entry or audit price, 4 for a build price or range, or 2 for a broad band only, and 3 for an ongoing price. A free call or free assessment does not count as a price. Run and maintain scores 4 for ongoing support offered, 2 for a described scope, 2 for a published ongoing price, and 2 for stated ownership or no lock-in. Team and track record scores years operating, with 4 for 10 years or more, 3 for 5 to 9, 2 for 2 to 4 and 1 for under 2, then 2 for named leaders, 2 for at least 10 staff or 3 named people with roles, and 2 for an Australian street address.

The same five tests rank the narrower list of AI automation agencies in Australia. This list takes a wider category, including AI development houses, voice AI agencies and automation studios, and scores 40 agencies against the narrower list's 18.

Hourglass AI is fourth on 53, two points behind Advancer and two ahead of Agility HQ. Like 4mation, EB Pearls, Advancer, Growthfirst and YesAI, it scores full marks on published prices and run and maintain. Without those two tests, 4mation and AI Advancements would share first on 38, EB Pearls and Mantel Group would follow on 37, and Hourglass AI would score 33. If team and track record counted double instead of build depth, 4mation and EB Pearls would tie for first on 58, ahead of Advancer on 55 and Spark Interact on 50, and Hourglass AI would score 48.

Hourglass AI loses flatly on two tests. On evidence it scores 8, against 10 for AI Advancements and 9 for EB Pearls. On team and track record it scores 5, against 10 for 4mation, EB Pearls, Advancer, Spark Interact, Mantel Group, Revium, Enterprise Monkey, Redmarble and RUBIX, and 6 to 8 for 13 more.

Widening the read beyond each agency's own site moved three scores. Hourglass AI's evidence rose from 6 to 8, because Startup Daily's launch report ties Schweigen and Sense of Self to Hourglass-built AI. Spark Interact's years in business rose, because a Pipedrive case study dates it at 15 years. Team400's rose on a line about 15 years of app building found on the re-read of its own site, and that put it into the top 8 in place of Growthfirst.
