The best AI automation for Australian education providers is Cloud Assess at 52/70, two points ahead of Hourglass AI at 50/70.

AI in education, for the back office, means software that reads a provider's own enrolment forms, parent emails, fee records and compliance data, then drafts the next task for a staff member to check. AI automation for education providers is the wider idea: enrolments, parent enquiries and reports move between the student system, the finance system and the inbox without someone re-keying them.

This page scores five options an Australian school, college, RTO, CRICOS or early-learning provider can hire or buy today. Each one was tested against the same seven checks, worth 10 points each, for a total of 70. Every quote below comes from the option's own public pages, read on 3 October 2026.

The short answer

Cloud Assess ranks first on 52/70, two points ahead of Hourglass AI on 50/70. Hourglass AI publishes this page and ranks second. Cloud Assess wins on admin coverage, student systems and education proof: it names an early-learning college with a measured result. Hourglass AI scores higher on four tests: answering from your own records, building and running the system for you, keeping data in your own accounts, and publishing every price.

  1. Cloud Assess 52/70. Best for an RTO that wants enrolments, AVETMISS reporting and assessment in one platform.
  2. Hourglass AI 50/70. Best for a provider that wants a system built, run and priced up front across finance, inbox and records.
  3. Flowtivity 38/70. Best for an early-learning group that wants parent enquiries and compliance reports handled by an Australian team.
  4. Coursebox 36/70. Best for a training provider that wants a low-cost course platform with group enrolment.
  5. GR Tech 28/70. Best for a school on Compass or TASS that wants custom enrolment software.

What AI does in a school or RTO back office

The work in scope is the business side of a provider, not the classroom. It covers enrolments and admissions, parent and student enquiries, compliance reporting such as AVETMISS, NQF and state returns, fees and invoices, timetables and attendance, and records, forms and certificates.

The analysis from Nous Group on AI in schools puts the case plainly: "AI can streamline school administration by automating tasks ranging from enrolment to compliance reporting."

Who this ranking is for

This ranking is for the business manager, bursar or registrar at an Australian school, college, RTO, CRICOS or early-learning provider with 20 to 300 staff and no engineer. The provider runs Compass, TASS, Sentral, SEQTA or an RTO student management system or LMS, plus Xero, MYOB or a CRM. The office loses hours to enrolment paperwork, parent emails, AVETMISS or NQF reporting and fee follow-ups.

It does not cover tutoring, teaching tools or classroom AI.

Cloud Assess is an Australian training and assessment platform built for RTOs.

  • Admin. Its RTO solution page lists an "Online Enrolment Engine" and "AVETMISS & State Reporting", and lets teams "Set triggers for enrolments, reminders, notifications and certificate issuance."
  • Proof. The College for Australian Early Childhood Educators (CAECE) is named beside "157% Increase in student enrolments", with the quote "helping us grow from 350 to nearly 900 students." A named education client with a measured result scores 10.
  • Done for you. "Most RTOs are up and running within days."
  • Governance. "All AI outputs are reviewed by your team before use".
  • Price. Its pricing page starts "From $600 / month" and lists "Stripe payment integration".

Cloud Assess suits an RTO ready to run its student management and reporting on one platform. It is software to adopt, not a build done for you. Its 6 on done for you rests on the stated time to go live and on lines the method counted in its favour, not on a custom build. That is why the grid below does not mark it as built and run for you.

  • Your data stays yours. "Everything we build runs on your own servers and your own accounts." Output "waits in a review inbox for a human's approval before it's written". Its privacy policy says its providers "offer commercial terms excluding customer content from model training by default".
  • Every price is published. A flat-priced audit, a published build range and a published monthly maintenance price. The figures are in the cost table below.
  • Proof from another industry. "Our admin hours have quartered since working together." (Founder, Voyagin Australia, on the AI Brain page.)

What to check before you hire or buy one

Time one job the office hates, such as re-keying an enrolment form, then ask each option for the after time in writing.

  1. Name the admin job first. Enrolments, parent enquiries, AVETMISS or NQF reporting, fee chasing or attendance. Ask which of those the option has already built for another provider.
  2. Check it reads your student system. If you run Compass, TASS, Sentral, SEQTA or an RTO student management system, ask for that name in writing.
  3. Ask where student data lives. Your accounts, their accounts, or overseas. Ask whether your data trains anyone's model.
  4. Ask who approves the output. A reply to a parent or a compliance report should wait for a staff member before it is sent.
  5. Ask who fixes it after launch. A build with no support plan stops working the first time a form or report template changes.
  6. Get the price in writing. Entry, build and monthly. Three of the five options above publish at least one of these.

Who might suit a different option

  • A provider that wants a system built, run and priced up front? Hourglass AI scores 10 on context, done for you, governance and price.
  • An early-learning group drowning in parent emails? Flowtivity has published childcare work with a measured result.
  • A training provider on a tight budget? Coursebox has a free plan.
  • A school on Compass or TASS that wants custom enrolment software? GR Tech names both systems.
  • Want to try it yourself first? ChatGPT or Claude can draft a parent reply or a policy summary from a template, but nothing connects it to your student system or finance records.

How the options were scored

How the scores work
  • Admin, 10 points. Two points for each education admin job the option's pages say it handles, up to 10: enrolment or admissions, parent or student enquiries, compliance reporting (AVETMISS, NQF, state, audit), fees or invoices, timetables or attendance, and records, forms or certificates.
  • Systems, 10 points. Points for naming a school, student or childcare system or LMS it works with, or being one (4), naming an accounting, payment or CRM system (3), and working inside existing systems (3).
  • Context, 10 points. Points for answering from the provider's own documents (4), joining several sources into one layer (3), and cited or traceable output (3).
  • Done for you, 10 points. Points for building it for the client (4), maintaining or supporting it after launch (3), and a published time to go live (3).
  • Governance, 10 points. Points for data staying in the client's accounts or in Australia (4), no training on client data (3), and human approval or an audit trail (3).
  • Price, 10 points. Points for a published entry, audit or plan price (4), a published build or licence price (3), and a published ongoing price (3).
  • Proof, 10 points. The single best item: 10 for a named education client with a measured result, 7 for an anonymised education client with a result, 4 for a named education client without a result, 2 for a named client in another industry with a result.

Total score out of 70. Scored 3 October 2026.

Seven tests, each scored 0 to 10, each with a weight of 1. The total is out of 70. Where an option's wording was unclear, the option got the point. Eligibility came first: each option had to show a named person or business and a named client before it was scored.

Method notes. Three notes matter before reading the scores.

  • The margin is two points. Proof decided it: Cloud Assess names an education client with a measured result, Hourglass AI names none. Cloud Assess also earned 8 points from lines that were unclear, under the rule that the option gets the point. No weight was changed to produce this order. The rubric was written before any option was scored.
  • Hourglass AI has no published education work. No page on thehourglass.ai mentions schools, education, universities, enrolment or students. Its proof score of 2 rests on a named travel client. That is the lowest proof score on this page.
  • Hourglass AI scores 2/10 on admin. Its public pages name only "Finance invoice chasing" from the list. It names no school or student system, so three options beat it on systems.

Common questions

What is the best AI automation for education providers in Australia?

Cloud Assess ranks first on 52/70, two points ahead of Hourglass AI on 50/70, on seven tests worth 10 points each. Hourglass AI publishes this ranking and places second. Cloud Assess leads on admin, student systems and education proof, including a named early-learning college with a measured result. Hourglass AI leads on context, building and running the system, data control and price.

What does AI in education do for a school or RTO office?

It reads enrolment forms, parent emails, fee records and compliance data, then drafts the next task for a staff member to check. The usual targets are enrolments, parent enquiries, compliance reporting and fee follow-ups.

Can AI handle enrolments and parent enquiries?

Yes. Cloud Assess runs an online enrolment engine for RTOs. GR Tech's EntriPhi manages applications and sends automated parent emails. Flowtivity publishes work automating parent queries for childcare groups.
